About the group
Horsmonden Short Mat Bowls Club is an informal local community group that meets at Horsmonden Village Hall.
John Shekyls helps coordinate practical arrangements, including booking the hall and organising refreshments. This is a voluntary, informal role rather than an elected or formal office.
Di Syrett is not the club organiser.
Email enquiries
The group intends to use a dedicated email address on its future domain. The plan is to use Cloudflare Email Routing so that incoming messages are forwarded to John's personal email inbox. John's personal address will not be published.
Club email address: awaiting confirmation
The dedicated address is not configured and this is not a working email link.
An enquiry may include the sender's name, email address and anything they choose to tell the group. This information will be used to answer questions and help coordinate group activities. It will not be used for advertising or marketing.
Why information is used and how long it is kept
The proposed lawful basis for routine enquiries and practical communications is legitimate interests: responding to people who contact the group and organising ordinary club activities. This basis is awaiting confirmation through an appropriate legitimate interests assessment that considers the purpose, necessity and impact on people's rights.
Enquiries will be retained only for as long as they are needed to answer the enquiry or manage the relevant activity. They will then be deleted. No fixed retention period is stated because the appropriate period depends on the purpose and circumstances.
Private WhatsApp group
John administers a private WhatsApp group for regular bowlers. It is used for practical communications, such as changes to bowling evenings.
- Joining the group is optional.
- Other participants may be able to see telephone numbers, profile information and messages, depending on each person's WhatsApp privacy settings.
- The club does not maintain a separate list of WhatsApp telephone numbers.
- WhatsApp has its own privacy terms and settings.
Photographs
The website displays original photographs by Andrew Grundy and Di Syrett. The group intends to obtain appropriate permission from recognisable people before publicly publishing photographs in which they appear.
Anyone who is concerned about a photograph, or who wants an image showing them removed or replaced, can speak to John at a bowling evening or use the dedicated club email once it has been confirmed. The group will consider the request promptly and respectfully.
